SwindonCard - Terms and Conditions

General

1. The SwindonCard is valid for one year from the day and the month of purchase and provides the holder with reduced rates at some facilities/activities operated by Swindon Borough Council.

Please note: SwindonCard applicants claiming Job Seeker’s Allowance (Resident only) will be issued with a card valid for six months. The SwindonCard will be re-activated for a further six months based on the benefit the holder is currently receiving.

2. All SwindonCard applicants must apply in person. Adult SwindonCard Family cards will be issued only if all applicants are present. The definition of a family is a grouping of one or two adults and their children (maximum three).

3. The application form must be completed in full and all applicants must agree to have their photograph taken.This is a security measure to avoid fraudulent use. All applicants must also provide proof of eligibility. Failure to do so will result in applications being denied. As proof of eligibility, a current address/utility bill must be dated within two months of the application.

4. Payslips for Swindon Borough Council employees must be current.

5. X-Training, Swim, Patch and Golf Passport holders will either be issued with a free SwindonCard or (if already in possession of a SwindonCard) the life of the SwindonCard will be extended to reflect the life of the Leisure Passport. No financial reimbursement will be made to SwindonCard holders who later join the Leisure (X-Training, Swim, Patch and Golf) Passport scheme.

6. The SwindonCard is not transferable and entitles the named person only to book and pay for facilities/activities which they use. The SwindonCard cannot be used to book or pay for activities for any other person (e.g. the SwindonCard holder cannot book two courts at the same times as they are only able to play on one court at any given time). Failure to comply will be regarded as misuse.

7. Lost or damaged SwindonCards will be replaced at a cost of £1.00 per card.

8. SwindonCards may be surrendered prior to the twelve month period, but no financial reimbursement shall be made.

Renewals - All applicants now must renew.

The SwindonCard may be renewed on an annual basis at which time a new application form will need to be completed. All applicants must provide proof of eligibility. Failure to do so will result in applications being denied.

SwindonCard applicants who are not in receipt of benefit are also required to complete an application form. Simply take this and proof of current address (e.g. recent utilities bill) and appropriate payment to any issuing site. Swindon Borough Council reserves the right to change the Terms and Conditions with less than one month’s notice.

Payment

Sports and Leisure

Payment for bookable activities/facilities can be made by SwindonCard holders on arrival at the facility (with the exception of Birthday Parties, Courses and Special Events. Birthday Party and Course bookings must be paid for at the time of booking.) The SwindonCard holder who makes the booking must be present at the time of play and must pay for the booking in person prior to play. Payment will not be accepted for the booking by any other person. If the card-holder is not present the non-card-holder price will be applied.

The SwindonCard must be produced every time you visit or the full activity price will be charged without right of refund.

Payment will not be accepted over the phone.

Two Concession 1 (adult) and two Concession 2 card-holder (adult/junior) per course will be granted the reduced rate. This will be strictly adhered to and will be granted on a first come first served basis. Concession 1 and 2 holders who are successful in securing the reduced rate will not automatically be granted the reduced rate on future courses - the first come first served principle will be applied.

Coate Water Country Park

Payment for all activities (with the exception of cycle hire and the paddling pool) at Coate Water Country Park can be made at the Activity Centre. Cycle hire may be booked and paid for in advance by contacting the paddling pool. We accept the following methods of payment: debit/credit card, cash or cheque (made payable to Swindon Borough Council). To qualify for a discount the SwindonCard holder must produce their SwindonCard at the time of payment. If cycles have been pre-booked the SwindonCard holder will be required to produce their SwindonCard prior to cycles being released.

No refunds will be issued for Nature Reserve and Fishing Permits that are surrendered prior to expiry.

Environmental Services - Pest Control

Payment can either be made at the time of booking (if booking in person) or on arrival prior to work being carried out. A signature will be required on delivery which must be the same as the signature on the SwindonCard to claim the discount.

Cancellation of Bookings

Cancellation of booked activities/facilities will be accepted 2 clear days prior to play and will not incur a penalty. e.g. if playing on Tuesday you must cancel by close of business on Saturday. Please note that X-Training, Swim, Patch and Golf Passport holders must also comply with these rules. Failure to cancel within the stated period will incur a penalty (non-SwindonCard holder price) and the card-holder will be required to pay the debt in full prior to further bookings being accepted. A cancellation number will be quoted (by phone) which will also be printed on the ticket. This number should be quoted in any dispute.

Debtors/Debts

The card-holder (or parent/guardian of minors under the age of 16 years) is responsible for all bookings made against his/her card. In the event that the card-holder fails to cancel within the stated period no further bookings will be accepted until the debt has been cleared. X-Training, Swim, Skate, Patch and Golf Passport holders who fail to cancel within the stated period will be charged the non-SwindonCard holder price 'failure to show fee'. No further bookings will be accepted until the fee has been paid. Disputed Debts - payment will need to be made prior to the card being re-activated to allow future bookings to take place. If the debt is in dispute the card-holder will be required to complete a form available from reception. The dispute will be investigated and if we are wrong a booking to the same value will be authorised and a complimentary voucher to a 'pay 'n' play' activity will be issued to compensate for any inconvenience.

Transfer of Courts

Courts may be transferred (subject to availability) to a later/earlier time on the day of play. The regularity of requests from SwindonCard holders will be monitored and if found to be excessive may be reviewed.

Misuse

SwindonCard remains the property of Swindon Borough Council. The SwindonCard is not transferable and entitles the named person only, to book and pay for the activities/facilities. Your Signature confirms that you and your dependants agree to abide by the conditions of the SwindonCard scheme. Any change in circumstances must be notified immediately. Swindon Borough Council reserve the right to withdraw the SwindonCard without financial reimbursement should misuse be proven.

SwindonCard holders must abide by the rules and regulations of the establishments offering the scheme. If misuse is proven the SwindonCard will be withdrawn for a minimum period of two months. Should misuse be proven in the future the SwindonCard will be withdrawn immediately and further SwindonCards will not be issued for a period of one year.

Interpretation

In the interpretation and application of these rules the decision of the Council is final and binding.

Data Protection

The information you provide will be stored securely on a computer database and used by the Council in the administration of the SwindonCard scheme and for monitoring your use of SwindonCard. Information no longer required after expiry of the card will be removed from the database in accordance with Data Protection Act 1998.
